In superhero movies, it’s the one in the middle of the action who gets the glory. But every true fan knows: even the greatest hero never works alone. There’s always someone in the background- a steady voice in the headset, a digital problem-solver, a quiet force making sure the tools are ready and the mission can succeed.

At KAEFER, our people on site are the ones who make the difference, day in and day out. They are the reason we exist, and the reason we excel. But behind them stands a network of support – teams who anticipate needs, build solutions, and make sure everything runs smoothly. Among them, CIT brings the technology that ties us all together.

In this second edition of the AI KAEFER Stories Series, we take a closer look at CIT (Corporate IT). Not the heroes in the spotlight, but the ones who help make heroics possible.

IT – the digital sidekick

CIT at KAEFER is a powerful force operating behind the scenes. The team supports the entire organisation – from classic desktop support and the introduction of new tools to cybersecurity, automation, and artificial intelligence.

CIT enables colleagues across the organisation to work more efficiently and confidently, while ensuring that every solution is robust, scalable, and future-ready.

The control room of KAEFER

A day in CIT begins with a look at the bigger picture. Emails and IT tickets show where in the KAEFER world support is needed and which superheroes need assistance right now.

From there, the focus shifts to teamwork. Projects are planned and developed together, always with the goal of finding new ways to support colleagues across the organisation. Code is written, use cases are designed, and automations are created. CIT works closely with colleagues out in the field to understand real challenges and turn them into practical digital solutions.

While others wear PPE or manage complex projects, CIT operates from the control room – without a superhero costume, but with powerful tools, sharp minds, and a clear mission.

A new superpower enters the scene: AI

One of the most exciting technologies developed behind the scenes is artificial intelligence.

CIT began experimenting with Generative AI as soon as it became available, exploring how it could support colleagues and business processes. Very quickly, the team recognised that AI could create real value for KAEFER – from intelligent automation to data-driven insights and conversational support.

These ideas led to a shared vision: giving every KAEFER superhero a digital assistant.

Together with Corporate Operations – Digital Operations, CIT developed “AIChat @ KAEFER” – also known as the KAEFER Chatbot – a conversational AI solution tailored specifically to the needs of the organisation and designed to support colleagues in their everyday work.

Introducing AI at this scale was new for everyone involved and required close collaboration across teams. Teamwork was not just helpful – it was essential.

Stronger together: the AI Community

Technology only becomes powerful when people use it. That’s why CIT created the AI Community – a space to raise awareness, encourage exchange, and bring together expertise from across the KAEFER world.

Through training sessions, hands-on demonstrations, and open discussions, AI is made accessible to everyone – regardless of technical background. The focus is always on practical examples that show how AI can support real work. Integrated guides, tips, and an intuitive design make the KAEFER Chatbot easy to use, while curiosity and questions are actively encouraged.

This way, knowledge is shared across borders, roles, and industries, combining many different superpowers into one collective strength.

AI in action – supporting everyday heroes

The KAEFER Chatbot is already supporting colleagues across the organisation in very practical ways.

In administrative roles, AIChat @ KAEFER helps analyse documents, summarise content, answer questions, and draft emails – saving time when working with contracts, policies, or news articles. Just by writing emails, the chatbot can help save 12 hours per month per user. In IT, a dedicated support use case of the KAEFER Chatbot answers questions, creates tickets, categorises them, and assigns them to the right team automatically.

Project teams working with large volumes of documentation, such as specifications, standards, and compliance requirements stored in SharePoint, can now access this knowledge directly through AIChat. By connecting document libraries to the chatbot, colleagues no longer need to search through folders or cross-reference files. Instead, they simply ask AIChat for the information they need and receive accurate, context-aware answers within seconds. This not only saves time but also helps ensure that everyone is working with the latest standards and requirements, reducing errors and supporting compliance.

Another powerful use case is voice-to-structured text. Using mobile devices, colleagues can dictate inspection sheets, inventory counts, daily logs, or standard forms instead of typing them. AIChat transcribes and structures the spoken input directly into the required templates. This hands-free approach makes documentation faster and more accurate  allowing teams on site to stay focused on their core tasks while ensuring that important records are captured efficiently.

One senior project manager recently used the chatbot to create personalised onboarding messages for around 50 users within minutes – a task that would previously have taken hours. The feedback was immediate: excitement and a clear sense of achievement.

Guardians behind the scenes

Being innovative also means being responsible. As the team in the chair, CIT ensures that every new technology – including the KAEFER Chatbot – is thoroughly tested and carefully reviewed. Security, compliance, and reliability are always top priorities.
